App Champion Tools and Resources
Working closely with in-country stakeholders, the CPA and Tactuum, App Champions have a key role to drive awareness, engagement and uptake of the Prescribing Companion App ensuring clinicians have access to up-to-date prescribing resources and guidelines at the point of care.
Please note, that each country is independently liable and takes full responsibility for their own guideline development, uploading and updating. The CPA is not liable for any content accuracy and updating, as per our disclaimer.
Standard Operating Procedure (SOP) for Uploading Guidelines
To ensure efficient maintenance and updating of the Prescribing Companion App, the CPA has developed two SOPs to be used by App Champions when uploading any New or Existing guidelines. Adhering to the SOP will guarantee clarity, consistency and smooth running of operations


6 Step Process
Each App Champion must follow this 6 step process as part of the SOPs. Please use the tools and resources provided below.
1. Identify New Guidelines and get Approval
The CPA requires a written Approval from the relevant country stakeholders (government ministries or equivalent) authorizing the country guidelines to be hosted on the App and Website. This fosters country ownership and commitment to update the App going forwards.
App champions should utilize the Approvals Package prepared by the CPA to guide the process. The package includes documents about the SPARC programme and an Approval template letter that countries can adapt.

- SPARC Concept Note – giving full details of the project and outcomes
- CPA Terms of Reference for the Strategic Alignment Grant
- Letter of Recommendation from the Fleming Fund/Mott Mac Donald. Please select the relevant letter for the region you represent (East and Southern Africa, West Africa and South Asia)
- Sample Letter of Approval – which can be used as a template, to complete and return to the CPA.
Confirmation of Approval (a signed, written letter from the relevant official) should be sent to the AMR.SPARC@commonwealthpharmacy.org for review. The CPA team will then contact you to ensure that all governance requirements have been met and uploading of guidelines can then be processed.
2. Undertake Content Editor Training
Before uploading guidelines, the in-country App champion who is the designated trained Content Editor must complete Content Editor training on how to revise and edit content via the Content Management System (CMS), maintain media and publish documents on the App and website. 3. Access the Content Management System (CMS)
App Champions can upload and edit the content on the App and Website , via the Content Management System (CMS). Access to the CMS is protected, and each App champion has their own unique login details.

App Champions are recommended to read the Content Editors Guide and review the Workshop video prior to logging into the CMS.
4. Complete the Accuracy Check
To ensure that all uploaded guidelines on the App and Website are complete and accurate, the App Champion should download and complete the CPA Accuracy Checking Tracker, via a two step process.
First check – completed by the App Champion/Technical Officer/Pharmacist and involves a deep dive into the fact-checking, dosage, formatting and grammar checks.
Second check – is highly recommended to check top level information, identify any issues missed by first check and ensure good governance.

5. Complete Utility Check
The Utility Check is conducted to ensure that the uploaded guidelines are accurate and easy to use on the App and Website. Please check that everything works as it should e.g. embedded links work, outlay is easy to follow etc.

6. Complete the App Governance Form to GO LIVE
Once the first five steps are completed, and the guidelines are ready for publication, App champions are requested to complete the App Governance Form.
CPA will review and give the go-ahead for ‘Go live’ once all details are confirmed. This is to ensure that all the governance checks have been met.
