App champions are responsible for notifying the CPA when a country has a relevant new guideline/content for hosting on the App.  The CPA requires a written Approval from the relevant country stakeholders (government ministries or equivalent) authorizing the country guidelines to be hosted on the App and Website. This fosters country ownership and commitment to update the App going forwards. 

App champions should utilize the Approvals Package prepared by the CPA to guide the process. The package includes documents about the SPARC programme and an Approval template letter that countries can adapt.

1. SPARC Concept Note – giving full details of the project and outcomes

3. Letter of Recommendation from the Fleming Fund/Mott Mac Donald. Please select the relevant letter for the region you represent (East and Southern Africa, West Africa and South Asia)
4. Sample Letter of Approval – which can be used as a template, to complete and return to the CPA.

Confirmation of  Approval (a signed, written letter from the relevant official) should be sent to the AMR.SPARC@commonwealthpharmacy.org for review.

A word version of the guidelines is required for the seamless upload onto the App. As part of the Approval, therefore,  the authorising institution MUST provide the Word version of the guidelines. This is to minimise formatting errors that will occur on attempt to convert the standard PDF document to Word . The CPA team will then contact you if these requirements have been met and uploading of guidelines can then start.

Before uploading guidelines, the in-country App champion who is the designated trained Content Editor must complete Content Editor training on how to revise and edit content via the Content Management System (CMS), maintain media and publish documents on the App and website.  The Content Editor training consists of:

App Champions can upload and edit the content on the App and Website , via the Content Management System (CMS). Access to the CMS is protected, and each App champion has their own unique login details. 

Contact the CPA (AMR.SPARC@commonwealthpharmacy.org) for access to your personal login details if you are a new App Champion.

App Champions are recommended to read the Content Editors Guide and review the Workshop video prior to logging into the CMS.

To ensure that all uploaded guidelines on the App and Website similar to the physical source document/ guidelines.  The  country checker MUST download and complete the CPA Accuracy Checking Tracker, via a two step process. 

First check –  A qualified in-country pharmacist MUST complete a thorough First check of all sections of the uploaded guidelines to ensure that what is uploaded on the App is the same as what is in the physical guideline. Take particular note of dosages. Any issues identified should be documented in the Accuracy Checker Tracker for the App Champion/Editor to Address.

Second check – Thereafter, a second check of all sections should be done to confirm the accuracy of the uploaded guidelines noting anything missed by the first checker. We recommend that another qualified pharmacist not involved in uploading or first checking completes the second check.

To ensure that the uploaded guidelines are easy to use on the App and Website and that everything works as it should e.g. embedded links work, outlay is easy to follow,  complete the utility check using the Utility Checker Form. This check can be completed by the App Champion or any of the in-country pharmacist checkers as a final sign-off of the quality checking process.

Once the first five steps are completed, and the guidelines are ready for publication, App champions are requested to complete the App Governance Form.  This has been built into the Content Management system system of the App. No guidelines will be published unless all governance checks  detailed on the form are marked as complete. 

Submission of this form is a confirmation that the guidelines published are accurate and liability is assumed by the country, not the CPA.
